Building Rental Requirements
1) Please do not advertise or sell tickets before final approval of your application by the Operations Division.
2) Submit your request 45 days before the start date of the event.
3) Requesting Organization must be an ACTIVE registered Entity with the Georgia Secretary of State.
THE BUSINESS NAME REGISTERED AT THE SECRETARY OF STATE SHOULD MATCH THE BUSINESS NAME ON THE LIABILITY INSURANCE POLICY. IT SHOULD ALSO BE THE SAME BUSINESS NAME WHEN SUBMITTED IN SCHOOL SPACE.
Proof must be uploaded into SchoolSpace under the documents tab.
4) Provide Commercial General Liability Insurance or Public Liability Insurance with minimum coverage limits of $1,000,000 aggregate. Such liability insurance must cover property damage (fire and collapse), personal injury (including medical expenses and wrongful death) and contractual liability; Worker's Compensation Insurance (when applicable to the requesting organization) that meets statutory limits; and The DeKalb County School District must be named as an additional insured on the liability policy and be listed as the certificate holder with the following address: 1701 Mountain Industrial Boulevard, Stone Mountain, Georgia 30083. Said liability policy shall be issued on a primary and non-contributory basis. The certificate of insurance and corresponding policy endorsement(s) are to be submitted at the time the use agreement is submitted for approval. The insurance policy must be uploaded into the SchoolSpace program under the insurance tab.
5) Submit to a Criminal Background Check by the DeKalb County School District Department of Public Safety at 5861 Memorial Drive, Stone Mountain, GA 30083. Your badge must be uploaded into SchoolSpace under the documents tab. A security background check is required and must be completed on all employees who will be working with a vendor. There are no exceptions.
6) Upload a flyer under the documents tab briefly explaining the event.
7) Approval is required from the school Principal, Area Superintendent, Business Services, and the Chief Operations Officer of the Operations Division.
8) All Unoccupied or Decommissioned facilities, please contact Business Services Department/Operations to discuss Rate Options.
9) Filming is $1,000.00 per day. A copy of the full script for filming must be submitted to the attention of Ms. Adrein Walker, for submission to the Legal Department for review and consideration.
Cancellation Fee:
The DeKalb County Board of Education reserves the right to charge a cancellation fee of $300.00 to a renter once the event has been approved on the district level and the renter decides to cancel the event.
Building Usage Terms:
DCSD custodial employee must be onsite during the use of any facility by an outside organization. The requesting organization will be charged the cost of the onsite custodian.
Each representative from the requesting organization who will provide services must submit to a criminal background check conducted by the DeKalb County School District Department of Public Safety.
DCSD will determine if security personnel are required based upon the time, date, facility, and number of attendees at the event. The requesting organization will be charged the cost of security provided by DCSD. Security Fee for all Facility Rentals within the schools is $65.00/ hour for all facility rentals, including filming/movies. There are no exceptions. Our Officers are the first option for ALL rentals. If our officers are not available based upon their work schedules, then we will allow the renter to use outside Armed Police Officers. The names of the Officers, Officers Badges, and the name of their Supervisor, telephone contact, must be submitted to our attention before the approval of the rental.
The sale, use, or possession of alcohol and drugs is prohibited on any DCSD property.
A Facilities Use Agreement involving outside activities requires that the Requesting Organization acquire and maintain, at its cost, a sufficient number of portable toilets in all occupied areas, throughout the duration of the activity. Prior to the commencement of the activity, portable toilets must be placed on the site and maintained in a manner that minimizes disturbance to nearby residences or other activities.
Payment will be drafted via credit card or ACH 7 days prior to the event.

A criminal background check is required for all responsible parties who will rent the facility and must be obtained from our Public Safety Department
They must also upload a copy of their certificate of Acord (Insurance). List DeKalb County Schools/Board of Education as an additional insured.
1) The Renter will be responsible for paying the Security and Custodian on duty during the event
2) A flyer is required that describes the activity, including the date, time, and price that is being charged
Stadium Rental Rules and Guidelines
No vehicles inside the gates
No vehicles on the tracks and fields
No cooking in the stadiums, on tracks, or fields
No Alcoholic beverages in the stadiums
No fireworks at the stadiums
No smoking
No tents, chairs, stands, ladders, or benches mounted on the tracks
No canopies or tents staked into the turf fields or tracks
No drones
No food or drinks on the tracks or fields
